BROKERRELAY
Privacy Statement
Confirm operator identity, privacy contact, production providers and countries, retention arrangements and actual practices before publication. Bracketed fields require completion.
1. About this statement
This Privacy Statement explains how BrokerRelay handles personal information in connection with brokerrelay.com.au, BrokerDesk, BrokerRelay Pro and the BrokerRelay client app. BrokerRelay provides communication and client-engagement tools for participating mortgage brokerages. Your brokerage separately handles its mortgage advice, application and compliance records under its own privacy policy.
Operator: [confirm full legal entity name and ABN/ACN]. Privacy contact: [confirm monitored email address and postal address].
2. Information we collect
Depending on your use of the service, information may include your name, contact details, account identifiers, company and broker relationships, messages, announcements, application references and descriptions, loan milestone history, document requests and delivery records, support correspondence and communication preferences. Optional profile information, such as a birthday, may be supplied by you or your broker for an agreed purpose.
Technical information may include IP address, browser or device information, sign-in and security logs, and device notification tokens where push notifications are enabled. Company billing information may include billing contacts, plan details, settlement usage and invoice records. Confirm the current payment-provider arrangement before adding any statement about payment details.
3. How information is collected
Information is collected when you or your brokerage create or update an account, send a message, request or upload a document, update application progress or contact support. A brokerage may provide your details to invite you to the service. Service providers may generate technical and delivery logs while operating the platform.
The website enquiry tool currently prepares text in your browser for you to copy; preparing an enquiry opens an email draft to hi@brokerrelay.com.au in your email application and does not send it automatically. If you later send that text by email or another channel, the recipient and that channel handle it. Avoid including mortgage documents, passwords or detailed financial information in general enquiries.
4. Why information is used
Information is used to provide accounts and company access, connect brokers and clients, deliver messages and document requests, display loan progress, manage service communications and scheduled follow-ups, provide support, protect the service and administer brokerage billing. Information may also be used to meet applicable legal obligations and resolve disputes.
If required information is not provided, some features may not be available. You can ask about using a different communication channel. BrokerRelay does not itself provide lending decisions or replace your brokerage’s mortgage systems.
5. Document Relay
Document Relay is designed to temporarily process uploaded documents and deliver them to an approved broker or company destination, rather than maintain a permanent mortgage-document repository. Request, delivery, failure and purge metadata may be retained. Temporary document content is intended to be removed after relay processing under the configured cleanup process.
Delivery by email creates copies in broker mailboxes, email-provider systems, backups or devices. Removing temporary BrokerRelay files does not remove those copies. Your brokerage and its providers control their retention. Before publication, confirm actual cleanup timing, failed-delivery handling and provider retention against the production configuration.
6. Who information is shared with
Information is made available to your connected brokerage and authorised staff according to their role and company access. Necessary information may also be processed by providers supporting hosting, authentication, databases, email delivery, notifications, payments and technical support, and professional advisers where required.
Information may be disclosed where authorised by you or required or permitted by law. A brokerage’s use of information it receives is covered by its own obligations and privacy notice. Confirm the production provider list before this statement is published.
7. Overseas handling
Cloud and communications providers may store or process information, or provide support access, outside Australia. The actual locations depend on the providers and regions configured for production.
[Insert confirmed countries for hosting, database, email relay, notification, payment and support providers, and explain relevant cross-border safeguards. Do not state that all information remains in Australia without verification.]
8. Security and retention
BrokerRelay’s design uses authenticated access, company-specific permissions and restricted document relay. No online service can guarantee absolute security. Users should protect credentials, secure their devices and promptly report suspected unauthorised access.
Account, communication, application-history, billing and audit records may be retained for service, security and legal needs. Moving an application to Past Applications is a visibility change and does not mean its underlying records are deleted. Retention and deletion requests are assessed against applicable obligations and technical arrangements. [Confirm retention periods and backup-deletion arrangements before publication.]
9. Website technologies and mobile permissions
The supplied public website does not include third-party advertising or analytics scripts. Hosting services may still process access and security logs. The signed-in platform may use session technologies needed for authentication.
Where offered, mobile notification and file-access permissions can be managed through device settings. Turning notifications off may affect alerts without removing records inside the app. If analytics, tracking or other third-party technologies are added, this statement and relevant choices must be updated.
10. Communications and your choices
You may receive service messages related to accounts, requests and loan progress. Contact your broker about review, birthday or other optional relationship messages and your preferences. Promotional communications, where offered, should provide a way to opt out in accordance with applicable requirements.
You can request access to or correction of personal information, or ask about account closure or deletion, through the privacy contact above. We may verify your identity and explain any applicable restriction. For records controlled by your brokerage, we may direct the request to that brokerage.
11. Privacy questions and complaints
Contact the privacy contact above with a description of your concern and your preferred response details. We will assess the concern, make necessary enquiries and aim to respond within 30 days, or explain if more time is needed.
If the concern remains unresolved, you may contact the Office of the Australian Information Commissioner where it has jurisdiction: oaic.gov.au/privacy/privacy-complaints. This statement does not limit any rights available under applicable law.
12. Changes to this statement
The current version will be made available on this website. Material changes to information handling may also be communicated through the service where appropriate.
Draft prepared: 15 October 2026. Effective date: [confirm after factual and legal review].
